At TeachTools, we understand that privacy is critical when it comes to educational tools. This Privacy Policy explains how we collect, use, store, and protect your data.
Key Commitment: We do NOT sell your data. We do NOT use your generated content to train AI models. Your worksheets, quizzes, and materials belong to you.
1. Information We Collect
1.1 Account Information
When you create an account, we collect:
- Email address - for authentication and communication
- Name - to personalize your experience
- Password - stored securely using industry-standard hashing
- School/District (optional) - for institutional features
1.2 Generated Content
When you use TeachTools to generate worksheets, quizzes, rubrics, or other materials, we store:
- Your inputs - topic, grade level, standards, customization preferences
- Generated outputs - the worksheets, quizzes, and materials you create
- Generation history - to enable you to access, edit, and reuse your materials
1.3 Student Data
We do NOT directly collect student personally identifiable information (PII).
However, if you include student-specific information in your worksheet context (e.g., "Create a quiz for Sarah's 5th grade class"), that text is processed by our AI provider but not stored or used for training purposes.
1.4 Usage Data
We collect anonymous usage data to improve TeachTools:
- Feature usage (which tools you use most)
- Performance metrics (load times, errors)
- Device and browser information
2. How We Use Your Data
We use your information to:
- Provide the service - generate worksheets, store your materials, manage your account
- Improve TeachTools - understand which features are most valuable, identify bugs
- Communicate with you - send account updates, new feature announcements, support responses
- Process payments - manage subscriptions via Stripe (our payment processor)
- Ensure security - detect and prevent fraud, abuse, and unauthorized access
3. AI Provider and Data Training
Critical Difference: TeachTools vs. ChatGPT
TeachTools uses OpenAI's API for content generation. API usage is NOT used to train OpenAI's models. This is different from ChatGPT's consumer interface, where conversations may be used for model improvement.
Your worksheets, quizzes, and lesson plans remain your intellectual property and are not used to train AI models.
4. Data Storage and Security
4.1 Encryption
- In transit: All data is encrypted using TLS/HTTPS
- At rest: All database content is encrypted with AES-256 encryption
- Passwords: Hashed using bcrypt (never stored in plain text)
4.2 Infrastructure
TeachTools is hosted on enterprise-grade infrastructure:
- Database: Neon PostgreSQL (serverless, auto-scaling, encrypted)
- Application: Render (SOC 2 Type II compliant hosting)
- Payments: Stripe (PCI DSS compliant)
5. FERPA Compliance
The Family Educational Rights and Privacy Act (FERPA) protects student education records. TeachTools is designed to support FERPA compliance:
- No direct student PII collection: We do not ask for or require student names, IDs, grades, or records
- Teacher control: Teachers decide what information (if any) to include in worksheet generation prompts
- Data Processing Addendum: Available for districts upon request (contact support@teachtools.co)
- No third-party sharing: We do not sell or share data with advertisers or third parties
6. Data Retention and Deletion
6.1 Active Accounts
Your data is retained as long as your account is active. You can delete individual generated items at any time from your dashboard.
6.2 Account Deletion
You can request account deletion at any time by contacting support@teachtools.co. Upon deletion:
- Your account and profile are permanently removed within 30 days
- Generated materials are deleted from our servers
- Anonymous usage data may be retained for analytics
- Financial records are retained for 7 years for legal compliance
7. Cookies and Tracking
TeachTools uses minimal cookies:
- Session cookies: To keep you logged in (essential, cannot be disabled)
- Analytics cookies: To understand feature usage (anonymous, can be disabled)
We do not use advertising cookies or sell data to third parties.
8. Third-Party Services
TeachTools integrates with the following third-party services:
- OpenAI (API): For content generation (data not used for training)
- Stripe: For payment processing (PCI compliant, does not access your content)
9. Children's Privacy
TeachTools is intended for use by teachers and educators (18+). We do not knowingly collect information from children under 13. If you believe a child has created an account, please contact us immediately at support@teachtools.co.
10. Your Rights
You have the right to:
- Access your data: Request a copy of all data we store about you
- Correct your data: Update your profile and account information at any time
- Delete your data: Request account and data deletion
- Export your data: Download all your generated materials
- Opt out of communications: Unsubscribe from marketing emails (account-related emails are required)
11. Data Breach Notification
In the unlikely event of a data breach affecting your personal information, we will notify you via email within 72 hours and provide details about the incident and steps we're taking to address it.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Significant changes will be communicated via email. Continued use of TeachTools after changes constitutes acceptance of the updated policy.
